Re-engineering core Finance and Human Resources processes

Project Manager / Senior Business Analyst re-engineering core Finance and Human Resources processes within Integrated Administration business area, aimed at improved customer service and reduced cost, for this leading Victorian university, with over 35,000 students, 7,000 staff and a turnover exceeding $1.4bn. Over a 6 week period, using our methodology and specialised process analysis tool, we;
• Modelled 16 core Finance and HR processes, producing detailed process maps depicting both the Current and Future modes of operation.
• Performed quantitative analysis of performance metrics, plus comparisons between the two modes.
• Worked with university staff to critique processes, and ‘design out’ any issues, recalculated key metrics, identified efficiency gains, and developed a business case.
• Developed & agreed high level requirements supporting future processes, and a business case for change.
• Published this knowledge via a knowledge model (the Business Management System or BMS)

Achievements;
o A common understanding of the detailed procedures involved in providing these Admin services.
o Quantitative metrics dispelled the tradition of ‘the squeaky wheel gets the oil’. Objective evidence rather than perception now drove ROI and prioritisation decisions.
o Processes were redesigned targeting customer satisfaction, with significant cycle time improvements.
o A substantial efficiency gain was identified.
