Process analysis and improvement, business requirement definition, for Facilities Management systems upgrade

Senior Consultant managing one other Consultant within Facilities Management (FM), identifying process optimisation in support of the replacement of an Integrated Work Management System (IWMS).
• Defined the ‘Inventory of Processes’; over 400 detailed processes were identified through interviews of 46 representatives of 5 business areas of FM.
• Documented 10 current (‘As Is’), priority business processes in detail within Space Management, and 9 within Asset Management, Property Services & Campus services of FM.
• Identified current process gaps, then defined efficiency and effectiveness changes for improvement.
• Worked with the new IWMS preferred vendor to define the match between the desired future processes and current IWMS functionality, and finalised future (‘To Be’) process designs based on this reconciliation.

Achievements;
o Within Space Management, defined a range of improvements to Process (18%), Technology (59%), Policy (0%) and People (23%).
o Within Asset Management, Property Services & Campus services, defined a range of improvements to Process (62%), Technology (24%), Policy (10%) and People (4%).
